Managing an organization
An organization groups the users, documents, folders and templates of a company or department. This page is for the organization administrator.
Each user of the organization has an Access Profile, which sets what the user can do. See the permissions of each profile in Access profiles.
Adding a user
- In the side menu, click Organizations and select the organization.
- In the user list, click the + button.
- In the Add user dialog, fill in the person's details.
- In Access Profile, pick the profile.
- Save.
To change someone's profile, click the Edit button on the user's row. The Edit user dialog opens.
Through the API, use POST /api/organizations/users to add or change a user and
DELETE /api/organizations/users/{userId} to remove one. The API key needs the permission to manage users.
Personal accounts have no users.
Removing a user
On the user's row, click the Remove from organization button. Signer removes the user's profile and their roles in the organization's folders.
When an employee leaves
Documents, templates, flows and folders belong to the organization, not to the user. When you remove an employee:
- The documents they created stay in the organization. The Operator, Manager and Administrator profiles still see them. Folder members do too.
- Managers and administrators can cancel, refuse, move, pause or delete those documents.
- The employee loses their creator rights. They only keep seeing the documents where they are a flow participant.
- The templates and folders they created stay with the organization. Managers and administrators can manage them.
If the employee still has a pending signature or approval, they remain a participant. To replace the participant, edit the document's flow.
The last administrator
The organization must have at least one administrator. If you try to remove the last administrator, or take the
Administrator profile away from them, Signer shows the error The last administrator of the organization cannot be
removed (OrganizationCannotRemoveLastAdministrator).
If no administrator can sign in, for example because the only one left the company, the instance administrator can add a new administrator. They do this in the Administration area, under Organizations. If you use Signer in the cloud (SaaS), ask Lacuna support.
Changing plans
If the instance allows hiring plans, the organization administrator sees the Change plan button in the organization's Invoices section. The button opens the list of plans.
